Privacy notice

How we look after your personal information.

1. Who we are

This notice explains how Metalis Recruitment Group Ltd collects and uses personal information about the people we work with. That means candidates looking for work, people we place in jobs, contacts at the companies we recruit for, and visitors to this website.

We're an engineering and manufacturing recruitment agency, and we're responsible for the personal information described here (the “controller”).

  • Registered in England and Wales, company number 17263745.
  • Registered office: 1 Phoenix Riverside, Sheffield Road, Rotherham S60 1FL.
  • Privacy questions: privacy@metalis.co.uk.

2. Candidates

What we collect

  • Your name and contact details.
  • Your CV and work history, qualifications, skills, tickets and licences.
  • The work you want, where you're based and how far you'll travel, your pay expectations and when you're free to start.
  • Notes of our conversations, and the jobs and employers we've discussed with you. We record our phone calls, to keep an accurate record and for training.
  • References, if you give us referees and agree to us contacting them.
  • If you work through us on a temporary assignment: your right-to-work documents, National Insurance number, bank details and timesheets, and anything else needed for pay, tax and pension.
  • Health information only if you tell us something we need to know, for example so we can arrange adjustments for an interview. Please leave sensitive details out of your CV unless they matter for the job.
  • Criminal record or security clearance information only where a role legally requires a check, and only with your knowledge.

Where we get it

  • From you: through this website, by email, by phone and in meetings.
  • From job boards and job sites, when you apply to one of our adverts or let employers and agencies search your CV there.
  • From professional networking sites such as LinkedIn, where your profile is public.
  • From people who recommend you, and from your referees.
  • From the companies you work for through us, for example timesheets and feedback.

How we use it

  • To find you work: matching you to roles, talking to you about them and introducing you to employers. We always check you're happy to be put forward before we send your details to an employer.
  • To arrange interviews and pass on feedback.
  • To check your right to work in the UK before you start, as the law requires.
  • To pay you and meet our legal duties if you work through us on a temporary assignment.
  • To keep in touch about suitable roles in the future.

Our legal reasons

  • Legitimate interests: running our recruitment service, which means finding people for roles and roles for people, and keeping a database of candidates we can contact about future work. You can object to this at any time.
  • Steps you ask us to take, and contracts: when you ask us to find you work, and when you work through us on an assignment.
  • Legal obligations: right-to-work checks, the records employment agencies must keep by law, and pay, tax and pension rules.
  • Your explicit consent, or employment law: for any health information you choose to share with us, which we use only to support you.

3. Contacts at companies

What we collect

  • Your name, job title, company, and work email and phone number.
  • Notes of our conversations, and the vacancies and candidates we've discussed with you. We record our phone calls, to keep an accurate record and for training.

Where we get it

  • From you, and from your colleagues.
  • From your company's website, business directories and other public sources.
  • From professional networking sites such as LinkedIn.
  • From business information providers that supply work contact details.

How we use it

  • To provide our recruitment services to your company: taking vacancies, sending candidates, arranging interviews and invoicing.
  • To tell you about candidates and services that may help your business. We may email you at work about these. Every email lets you opt out, and we stop straight away when you do.

Our legal reasons

  • Legitimate interests: building and running business relationships with the companies we recruit for. You can object at any time.
  • Contracts: when we're working for your company.

4. Visitors to this website

What our forms collect

We only collect what you type into our forms, and the CV you attach. Everything you send goes straight into our recruitment system. If it can't take a form at that moment, the details (not your CV) are emailed to our team instead, so nothing is lost.

  • Job applications (Quick apply on a job page): your name, email, phone number and CV, and the job you're applying for.
  • Upload your CV: your name, email, phone number and CV, plus the kind of work you're after and where you're based, if you tell us.
  • Contact, looking for work: your name, email, phone number and CV, and the kind of work you're after.
  • Employer enquiries (the Employers page, and “I'm hiring” on the Contact page): your name, company, work email and phone number, and what you tell us about the role.
  • Contact, something else: your name, email, phone number and your message.

Stopping spam

When you send a form, we use your IP address to stop too many messages coming from one place. Our recruitment system keeps only a scrambled version of it, never the address itself.

Technical logs

Our hosting provider keeps standard technical logs, including IP addresses, for a short time to keep the website running and secure.

Cookies

This website sets no cookies of its own. Our hosting provider may set an essential security cookie if it ever needs to check that a visitor isn't a robot. We count visits with Vercel Web Analytics, which counts page views without cookies and without identifying you.

5. How we use AI

We use various AI tools to help us work faster, for example to read CVs, suggest people who may suit a role and help draft messages.

A person always makes the decisions about you. We don't make any decision that significantly affects you by automated means alone.

6. Who we share it with

We never sell your information. We share it only when we need to:

  • Employers we introduce you to, after you've agreed.
  • Your referees, if you've asked us to contact them.
  • Companies that provide services to us: our website host, our recruitment system, email and phone systems, AI tools, job boards and advert posting tools, identity and right-to-work check providers, and our payroll provider for temporary workers. They act only on our instructions and must keep your information secure.
  • Our professional advisers, such as accountants, solicitors and insurers.
  • Public bodies, such as HMRC, the Home Office, pension providers, the police or the courts, when the law requires it.
  • A new owner of our business, if the business is sold or restructured, so they can carry on the service.

Outside the UK

Some of our service providers store or handle information outside the UK, for example in the European Economic Area or the United States. When they do, we make sure it's protected as UK law requires: either the country has UK approval for data protection (including the UK-US data bridge for certified companies), or we use contract terms approved for UK transfers.

8. Your rights

You can ask us to:

  • show you the information we hold about you;
  • correct it;
  • delete it;
  • limit how we use it;
  • stop using it, including stopping marketing emails at any time;
  • give it to you, or to someone else, in a common format;
  • stop using it where we rely on your consent.

To do any of these, email privacy@metalis.co.uk, write to us at the address above or call 0114 349 2305. It's free, and we reply within one month. We may need to check who you are first.

Complaints

Please tell us first, so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Keeping it safe

Our systems are protected by sign-ins and access controls, and information is encrypted when it travels over the internet. Only our staff, and the service providers who work for us, can get to it.

Age

Our services are for adults. We don't accept applications from anyone under 18, because much of the work we recruit for involves hazardous sites and machinery.
